Time clock for camps
Summer camp staff time tracking that doubles as a headcount.
Summer camp staff time tracking records when counselors and other seasonal staff start and end each day. With TrackBadges, the camp director scans each staffer's printed QR badge with a phone at the morning meeting: once in, once out. Staff need no app or phone, which suits camps that collect phones, and the list of who's clocked in doubles as a staff headcount.
What the time clock has to handle
Phones in a basket
Many camps collect staff phones during program hours. A printed badge needs no phone to clock in or out.
Teen staff and hour limits
Counselors under 18 often have hour limits under child labor rules. Scans give you an accurate record of each one's hours.
Knowing which adults are on site
The morning scan is a staff headcount, and Roll call turns it into a checklist when lightning clears the field.
How summer camp staff time tracking works
The camp director's phone is the time clock. Pair it once from a setup link, and it scans each staffer's printed QR badge at the morning meeting, and again when the day ends. Counselors need no app or phone, which matters at camps that collect phones during program hours.
A day camp with 30 staff:
| Time | What happens |
|---|---|
| 7:45 a.m. | Staff meeting at the flagpole. The director scans 30 badges as people arrive. |
| 8:00 a.m. | The scanner shows 29 clocked in. The director calls the one who's missing before campers arrive. |
| 8:30 a.m. | Campers arrive. Counselors are already on the record. |
| 12:00 p.m. | Staff lunch. If it's unpaid and staff are fully off duty, scan out and back in. |
| 4:00 p.m. | Last pickup. |
| 4:30 p.m. | Debrief, then the director scans everyone out: 8.75 hours each, or 8.25 with an unpaid lunch. |
After-school programs work the same way with a tablet at the front desk: staff scan in at 2:30 p.m., before the buses arrive, and out at 6:15 p.m., after the last pickup.
Roll call that doubles as a staff headcount
The morning scan is also your staff headcount. When lightning, a fire drill or a missing camper calls everyone in, open the dashboard on your phone and tap Roll call. It lists every staff member clocked in right now, with a checklist to tap off each one as they're accounted for. It covers staff, not campers; your camper attendance stays where it is. See emergency roll call, and keep a printed roll call sheet as a backup for when there's no signal.
Seasonal staff, teen staff and pay rules
Camp pay rules have a few twists. This isn't legal advice; check the rules for your state and your camp.
- Seasonal exemption: some seasonal camps qualify for the FLSA's exemption for seasonal recreational establishments and organized camps, which covers minimum wage and overtime. Many don't, and state law may not follow it.
- Staff under 18: federal and state child labor rules limit the hours and times of day younger workers can work, depending on age. Scans give you an accurate log of each teen's hours to check against those limits. TrackBadges records the hours; it doesn't enforce the limits.
- Overtime: if your camp isn't exempt, set a 40-hour weekly threshold, plus a daily one if your state has daily overtime, and each timesheet splits regular and overtime hours.
- Overnight camps: live-in staff hours, sleep time and days off are a specialized area; get advice before deciding what counts.
Setting up for a season
During staff training week, paste in your roster and print badges, eight to a letter page. Put them on the lanyards with the staff ID you already issue; how to make employee ID badges covers card stock and holders. A lost badge is reissued in a click, and the old code stops working.
At the end of the summer, archive the seasonal staff and they stop counting toward your plan. Restore returning counselors next June instead of adding them again.
What it costs
TrackBadges is free for up to 3 people with every feature, which covers a year-round office of three. Pro is $9 a month for your first 3 people, plus $1.50 a month for each person after that, so 35 summer staff is $57 a month while they're active. Billing follows active headcount and is prorated.
When it isn't the right fit
TrackBadges is a staff time clock, not camp management software. It doesn't check campers in, verify authorized pickups, schedule activities or handle registration. It needs a connection while it scans, so before an out-of-camp trip with no signal, scan staff before the bus leaves. And at overnight camps where staff aren't paid by the hour, you may not need a time clock at all.
Set it up in three steps
- 01
Add your crew
Name your business and paste in your team. No signup, sales call or card — make an account once you like it.
- 02
Print their badges
Everyone gets a QR badge. Print them on plain paper or card stock. There's nothing for your crew to install.
- 03
Scan with any device
A supervisor's phone, a warehouse tablet — any device can be a scanner. Scan a badge once to clock in, and again to clock out.
Frequently asked questions
How do summer camps track counselor hours?
Many still use paper sign-in sheets. With TrackBadges, the director scans each counselor's printed QR badge at the morning meeting and again at the end of the day, so hours are recorded to the minute and staff need no phone. The hours export as a CSV for payroll.
Do camp counselors get overtime?
It depends. Some seasonal camps qualify for the FLSA's seasonal recreational establishment exemption from minimum wage and overtime, and many don't; state law can differ too. If your counselors are owed overtime, TrackBadges applies your weekly and daily thresholds automatically.
Can we use TrackBadges to check in campers?
No. TrackBadges is a time clock for staff, and every badged person counts toward the plan. Camper attendance and authorized pickups belong in camp management software.
Does TrackBadges track hour limits for staff under 18?
It records every teen staffer's hours to the minute, which gives you what you need to check against federal and state child labor limits. It doesn't enforce those limits or warn you before someone goes over them.
Does it work for after-school programs?
Yes. Put a tablet at the front desk and pair it as a scanner. Staff scan in before the buses arrive and out after the last pickup, and the director sees who's on site on the live board.
