Time clock for staffing
A temp agency time clock that runs at the client's door.
A temp agency time clock records the hours placed workers actually work at a client's site, so the agency can pay them and bill the client. With TrackBadges, each temp gets a printed QR badge, and your on-site supervisor or the client's lead scans it in and out with a phone. Workers need no app, and every punch shows the client site.
What the time clock has to handle
Timesheets signed after the fact
A client manager signs a paper sheet on Friday, from memory. Scans are timestamped at the door as workers arrive and leave.
New faces every week
Placements change faster than anyone can roll out an app. Add a name, print a badge, and archive them when the assignment ends.
Day laborers without phones
A printed badge is all a worker needs. Only the supervisor's phone does the scanning.
Billing the client for verified hours
The hours you pay are the hours you bill. Export the shifts for one client's site and attach them to the invoice.
Buddy punching on a big crew
In a crew of 40, one worker can clock in a friend who isn't there. The supervisor scans each badge face to face.
Many clients, many sites
Make each client site a location and pair a scanner there. Every punch shows which site it came from.
How a temp agency time clock works at the client site
Your on-site supervisor's phone is the time clock, the same way a crew time clock works for a foreman. Pair it once from a setup link, assign it to the client site, and it scans each placed worker's printed QR badge at the start and end of the shift. Workers carry a badge; they need no app, account or smartphone.
A Monday at a client's distribution center with 25 temps:
| Time | What happens |
|---|---|
| 5:30 a.m. | Your dispatcher prints badges for four new placements at the branch. |
| 6:45 a.m. | The on-site supervisor scans 25 workers in at the client's door and hands the new four their badges. |
| 10:30 a.m. | Lunch in two waves: scan out, then back in after 30 minutes. |
| 3:15 p.m. | The supervisor scans everyone out. The branch sees the site clear on the live board. |
| Friday | You approve the week and export one CSV for payroll and the client's invoice. |
No on-site supervisor? Send the client's shift lead a setup link instead. Their phone becomes a scanner for that site with no login, and you can revoke it the day the contract ends. Anyone can record time for a worker, as long as the record is accurate; see can a manager clock employees in.
Hours the client can check
Paper timesheets signed by a manager who wasn't watching lead to billing disputes. Scans don't depend on anyone's memory: every punch records the time, which scanner made it, its client site and, if you turn it on, GPS. And because the supervisor sees each worker scan, one temp can't clock in a friend who stayed home; see how to stop buddy punching.
- Make each client site a location. Scanners and locations are unlimited on every plan.
- Export the shift detail. One row per shift with times in and out, the location, who scanned the worker in and out, GPS and any edits.
- Filter by location in Excel or Google Sheets and attach that client's rows to the invoice.
TrackBadges doesn't invoice, store bill rates or run payroll. It gives you one set of verified hours to do both from.
Badges for a workforce that turns over every week
Add a new placement by name, print the badge (eight to a letter page) and they're ready for the next shift. A worker who shows up without their badge is scanned in by PIN. A lost badge is reissued in a click, and the old code stops working, so a former worker can't use it at another site.
When an assignment ends, archive the worker. Archived people don't count toward your plan, and you can restore them when they're placed again.
Overtime when a worker has two assignments
As the employer, the agency usually owes overtime on all the hours a worker works for it in a workweek, across clients. A temp who works 25 hours at one client and 20 at another has worked 45 hours, so 5 are overtime under the FLSA. TrackBadges totals every punch from every location before applying your weekly threshold, so split assignments don't hide overtime. Who pays for it under the client contract is between you and the client. See how to calculate overtime.
Some states also regulate day and temporary labor agencies with their own notices and records. This isn't legal advice; check your state.
Day labor dispatch
Day laborers often don't have smartphones. Badge them at dispatch, scan them in at the client site and out at the end of the day, and the hours are on the record before they're paid. If workers report to the branch first and ride to the site in your van, scan them at the branch: travel from a required meeting place to the work site is paid time under 29 CFR 785.38.
What it costs
TrackBadges is free for up to 3 people with every feature. Pro is $9 a month for your first 3 people, plus $1.50 a month for each person after that: 50 active workers is $79.50 a month, and 150 is $229.50 a month. Billing follows active headcount and is prorated, and scanners at client sites are free.
When it isn't the right fit
TrackBadges is the clock, not a staffing platform. It doesn't take job orders, schedule shifts, onboard workers or invoice clients. A single temp placed alone at a small office has nobody to scan them; client-approved timesheets or an app on the worker's phone work better there.
Set it up in three steps
- 01
Add your crew
Name your business and paste in your team. No signup, sales call or card — make an account once you like it.
- 02
Print their badges
Everyone gets a QR badge. Print them on plain paper or card stock. There's nothing for your crew to install.
- 03
Scan with any device
A supervisor's phone, a warehouse tablet — any device can be a scanner. Scan a badge once to clock in, and again to clock out.
Frequently asked questions
How do temp agencies track hours at client sites?
The most reliable way is to record hours at the client site as they happen. With TrackBadges, an agency supervisor or the client's lead scans each worker's printed QR badge in and out with a paired phone, and every punch records the site. The agency exports one set of hours for payroll and the client's invoice.
Can a client's supervisor clock in our temps?
Yes. Send the client's lead a setup link and their phone becomes a scanner for that site, with no account or login. Every punch records which scanner made it, and you can revoke the scanner when the contract ends.
Who owes overtime when a temp works for two clients in one week?
Usually the agency, as the employer, owes overtime on all the hours the worker works for it in the workweek, across clients. TrackBadges adds hours from every location into one weekly timesheet before applying overtime. Joint-employment questions can change this, so check with an employment lawyer.
Can TrackBadges invoice our clients?
No. TrackBadges records verified hours and exports them as a CSV with a location column you can filter by client. Your billing system or accountant builds the invoice from that.
What if a day laborer shows up without their badge?
The supervisor types the worker's PIN on the scanner and they're clocked in. If the badge is lost, reissue it in a click and the old one stops working.
